AI Policy
Effective October 1, 2026
1. Why this page exists
Fulkrum uses artificial intelligence to do real work on your books, so you are entitled to know exactly where it is used, whose models run it, and what happens to your information along the way. This page says so in plain language. It sits alongside our Privacy Policy, which governs your information generally.
2. Where we use AI
AI assists with specific tasks inside the platform:
- Reading your documents: extracting the transactions from a bank or credit card statement you upload, and reading receipts.
- Suggesting how transactions are coded: proposing a category for each transaction, and asking you a plain-language question when it is not confident.
- Answering your questions: explaining your own figures and general bookkeeping concepts in the AI Assistant.
- Onboarding and setup: turning what you tell us about your business into the structure your books need.
AI makes suggestions. It does not post to your books on its own. Anything AI proposes is presented to you for review, and what goes on your books is always your decision.
3. Third-party AI models
We do not build the underlying models. We use established third-party AI providers to run them on our behalf. Your information is sent to a provider only as needed to deliver the features above.
Our providers are not permitted to use your information to train their models. They process it solely to provide the service to us. We may change or add providers over time, and we hold every provider to this same restriction.
4. Training on your data
We do not use your data to train AI models. Not our providers’ models, as described above, and not our own. Your books are used to run the features you asked for, and for nothing else.
Your company’s data also stays your company’s. When you ask the AI Assistant about your numbers it reads only your own books, and it is never shown another customer’s.
If that ever changes, we will say so here before it does, and we commit now to the conditions it would have to meet:
- Normalized: reduced to the general patterns records represent, rather than retained as your specific entries.
- Anonymized: stripped of anything identifying you, your business, or your account before it is used.
- Disclosed: this policy updated, and the change explained, before any such use begins.
5. AI can get things wrong
AI suggestions are a head start, not a final answer. Fulkrum is not a substitute for a professional judgment call. Review what the AI proposes before you post it, and check with an accountant or tax professional when something matters or you are unsure.
6. Questions
Questions about this policy, or about how AI is used on your account, can be sent to support@thefulkrum.com.
